How to Command and Control Your Business using Mind Maps.

As your business grows, it increases in complexity and this creates more demands on the business owner or the CEO. Keeping all the balls in the air at once can be difficult if not impossible. So is there a special skill attached to managing a large number of things at once or is there a tool that can help the business owner to cope?

In fact, there is no special skill involved, but using the right tools to keep you on track can transform your business and your life. I am a massive fan of Mind Mapping and I have been one for the past 30 years. In all this time, I have found no other tool that can surpass the simplicity of its use or its ability to turn complex data into easily understood structured information.

However, beyond the information management functions that Mind Mapping delivers, there is a wide range of applications where the business owner or manager can use this tool. One of my favorites is the ability to use a Mind Map to command and control my business. I will discuss exactly how in a moment or two. I have watched business owners and managers struggle with a desk full of files and paper and the bigger the pile, the less productive the manager is. The smart way to do it is with a simple one page document or electronic Mind Map file.

Consider the image below, which is a Mind Map of all the activities under the control of a CEO of one particular business. In reality, the CEO may have a broader set of responsibilities and Mind Mapping software will allow a map to be any height and width and there can be an almost infinite number of branches and activities. Note the range of areas for which the CEO has responsibility and all of the actions that he needs to be aware of.

This map can be printed on any paper size and can be the sole document that the CEO works on each day. He can add items to the map and cross off items that have been taken care. This can then be entered into the Mind Mapping software at the end of each day, so that the CEO starts each day with a new set of tasks. Incomplete items may remain in focus and new activities requiring his attention can be added.

Take this to the next level where the Mind Map is on the computer network or in the cloud and that permissions have been set for key managers to have read or write access to this Mind Map. Now everyone is looking at the same set of important initiatives across the entire business. Specific tasks can be delegated to managers and subordinates while the CEO continues to have his finger on the pulse of the business. Better Mind Mapping software includes project management capabilities with Gaant chart and resource allocation functions.

Now consider using Mind Maps for other key activities and projects in your business and see the difference it makes to your knowledge and efficiency. Some Mind Mapping software products come with a range of embedded templates that help you to deal with the following kinds of tasks:

  • Running effective meetings
  • Problem solving
  • Presentations

  • Communication and keeping your team aligned
  • Freeform brainstorming with structured outcomes

  • SWOT and PEST analysis
